Empire Entertainment is a dynamic, full-service event production company that conceptualizes, designs, and executes entertainment-driven projects for corporations, associations, not-for-profits, and private interests. Based in New York City and Los Angeles, we produce over 100 projects annually including concerts, award shows, charity galas, premieres, and public-facing promotional events.Â

We are seeking intelligent, organized, resourceful and energetic NYC-based candidates to support the Empire Entertainment team in the creation and management of live and virtual events. The successful candidate will be able to complete large volumes of varied tasks, work diligently and with appropriate urgency, communicate efficiently and effectively with the teams one is supporting, and creatively solve challenges that arise within the day-to-day work of event production.

Responsibilities
- Support Producers in coordinating, planning, managing, and producing events
- Conduct research for event elements including potential venues, talent, entertainment, guest services, innovative event and décor concepts, new technologies, branding initiatives, permitting requirements, etc., and update company databases with all new information
- Support Producers in building venue, talent, and creative proposals for new and current clients
- Lead and produce project elements or segments, scope pending on project needs – including reporting directly to clients on planning and progress (under the guidance of the Producer)
- Work with Producers to draft proposals, budgets, production schedules, run of shows, and other deliverables documents and more
- Take and circulate notes for all project calls as well as track all emails and update master project documents accordingly (often supported by a project coordinator)
- Track all project deliverables
- Assist Producers in the coordinating and scheduling of all project meetings and calls
- Contract project-based vendors and freelancers, coordinate payments and invoicing
- Work onsite through load-in, event, and load-out, overseeing various components of events and / or vendors efficiently, and with professionalism
- Oversee staffing plan on projects assigned, for onsite (or virtual) staff, conducting walkthroughs, training, etc.
- Work with Producers to draft case studies on completed projects to live on company website

Qualifications
- 2-3 years experience in the event and entertainment industry Â
- NYC-based applicants
- Extensive knowledge of the event production process, and with standard event documents such as production schedules, run of shows, etc.Â
- Excellent organization skills and the ability to follow-up and complete tasks in a timely and responsible manner
- Proficient in vendor contracts (being able to work with talent contracts is a plus)
- Positive can-do attitude with strong initiative, follow through, and attention to detail
- Creative problem-solver with an ability to work in a rapidly changing environment
- Excellent written, verbal, and interpersonal communication skills
- Proficient in Microsoft Office including Word, Excel, and PowerPoint as well as Google Drive and DropboxÂ
- Eagerness and ability to work long hours onsite, managing small teams and event components with composure and professionalism
- Familiarity with and / or interest in current musical, theatrical and comedy talent, is a plus
- Familiarity with NYC-based production vendors is a plus
- Familiarity with virtual events on various platforms is a plus
