Summary

Job Description

Responsible for assisting the Manager with Flight of the Hippogriff™, and Ollivander’s™.

Essential Functions

  • Assist the Manager in hiring, training and development of B192 Attractions team members.
  • Responsible for managing all employees by setting work expectations and leadership standards. Offering consistent and timely feedback to hourly staff to ensure effective communication between management and staff.
  • Develop and implement programs to improve guest and employee satisfaction. Ensure appropriate and timely investigation and response to guest and employee concerns.
  • Oversee employee reviews and counseling to ensure all guidelines and policies are followed. Encourages employee development and participate in employee interviews for Lead and Seasonal Supervisor positions.
  • Serve as designated duty manager for the daily land operation, weekly as scheduled.
  • Assists in creating, maintaining and supporting the labor and non-labor budgets.
  • Review and approve all hourly staff time and attendance forms for accuracy.
  • Provide daily summary of day-to-day operations.
  • Work closely with Technical Services on venue repairs and upkeep.
  • Oversee operational compliance.

Job Description

Role Summary:

Universal Pictures is searching for Manager of Contract Administration to provide casting administration support to the Director of Contract Administration.

Essential Responsibilities

  • Meet with Casting Directors, Production Coordinators and Extras Casting Directors to discuss Casting Administration Procedures. Meetings are in person or held virtually, depending on the location of production and casting offices.
  • Prepare and update manual given to the Casting Director and Production Coordinator for each feature film.
  • Review all non-Schedule F performer deal memos received from Casting Directors and Production Coordinators to ensure compliance with Universal policies and SAG rules.
  • Distribute all non-Schedule F actor deal memos to various departments within the studio.
  • Confirm there are deal memos for every non-Schedule F performer.
  • Draft all non-Schedule F performer contracts (actors, stunt performers, background upgrades, pilots, singers, dancers, puppeteers, looping) for both theatrical and streaming feature films.
  • Work with attorneys in reviewing and drafting non-standard language.
  • Work with the Labor Department as needed to resolve any issues as they pertain to SAG-AFTRA policies.
  • For non-Schedule F minors, draft agreements, parental agreements, corporate events releases, and work with outside counsel to ensure court approval.
  • Input, update, and track progress of Contracts in Smartsheet.
  • At the end of production, make sure we have received all documents before the production office is closed.
  • Provide coverage when the Director of Casting Administration is absent.

Qualifications

Basic Requirements:

  • Minimum 2 years experience with drafting and negotiating contracts.
  • Minimum 2 years experience and demonstrated ability using Microsoft Office (Word, Outlook, etc.)
  • Minimum 2 years of demonstrated organizational skills and ability to prioritize.
  • Bachelor’s Degree

Desired Characteristics

  • Minimum 2 years relevant experience working in an administrative capacity at a major studio or independent production company.
  • Experience working in feature casting or feature production.
  • Knowledge of SAG rules.
  • Paralegal Certificate (or equivalent experience).

What You’ll Do

  • Lead and manage the billing, inventory, and timekeeping teams to ensure that all tasks are being accomplished
  • Facilitate ongoing strategic planning efforts in support of long-range planning and annual budgeting while partnering with finance to assess related financial implications
  • Supervise and assist in maintaining all show files including but not limited to ensuring billing is being processed correctly, timely, and within show budget through RTPro
  • Oversee an accurate account of the capital and equipment inventory across all production departments
  • Manage inventory employees to optimize inventory control procedures
  • Work with the team to analyze various vendors and suppliers to ensure the company is receiving the best cost-effective deals
  • Manage billing employees Reviews posted charges and initiate customer billing in addition to helping identify and resolve invoice discrepancies

  • Propose and implement solutions to better align billing processes with operational workflows for existing and new customers

Job Description

The Operations Coordinator Primary Responsibility is managing the day-to-day financial and budget tasks, including but not limited to tracking of all spends, invoice submissions, onboarding of vendors, monthly and quarter closes/accruals. The Coordinator’s Secondary set of Responsibilities will be assisting with the requesting, coordinating, and tracking of the production and distribution of video, digital, design, and radio/audio materials.

This position will support the Senior Director of Resource Operations in the NBC Entertainment Creative Marketing organization.

Primary Responsibilities

  • Receive daily and track all incoming invoices, entering required information into tracking software (currently Excel, will be Air Table in the future)
  • Process, code, submit all invoices into SNAP, ensuring that invoices get submitted and paid in a timely manner
  • Review Ledger and tracker to identify and fix any discrepancies or track down non-payments in a timely manner
  • Help troubleshoot invoice processing and payment issues with accounts payable team
  • Onboard Vendors
  • Troubleshoot problematic vendor onboarding issues (Domestic and International) per NBCUniversal Guidelines, understanding process and information needed to guide vendors thru process
  • Monthly and Quarter Finance Closes included but not limited to all accruals, accruals backup and reclasses
  • Answer vendor inquiries and interact with vendors regarding issues relating to invoices
  • Work closely with Finance, Sr. Director and VP of Creative Marketing to ensure that spends being tracked are accurate
  • As needed help Operations Manager with SOW/PSA requests and Vendor Project Requests/Estimates

Secondary Responsibilities

  • Partner with members of the Multiplatform Planning, Post Department, Project Management teams, Media department, and media agency to understand video and digital key art assets needs and deadlines.
  • Track progress, monitor due dates and facilitate feedback as materials are produced, then coordinate/traffic delivery to internal and external teams for assigned show
  • Submit tickets for production assets
  • Save digital key art assets onto internal sever

Additional Responsibilities

  • Partner with HR to help coordinate IT & Facilities services as needed for contractors or staff employees
  • Assist with on boarding of department new hires and contractors (parking, badge, locations, IT & phone setup)
  • Maintain inventory of office supplies and stock 3 kitchens, ordering supplies as needed
  • Set up larger meetings as requested
  • Proactively work with management to achieve company and department goals
  • Manage and keep current different documents/databases for NBC Creative Marketing Department

Summary: The position is responsible for supporting the Park Services department & overseeing park employees. This person will ensure that the theme park environment is consistently maintained in a clean, safe & presentable manner while complying with all procedures & regulatory requirements. In addition this person will be responsible for implementing departmental programs focusing on employee & guest satisfaction.

Essential Functions

  • Manages daily operation of Park Services employees. Ensures that facility cleanliness standards are maintained at all times

Job Description

  • Assist Project Managers in development of initial project scope, cost, and schedule baselines.
  • Review and analyze project metrics, including but not limited to budget, schedule, scope, and quality
    • This includes tracking actuals, adjusting projections, and analyzing/reporting variances
  • Collaborate with Project Managers and finance partners on monthly cost reports, cash flows, and any other needed financial reporting.
  • Regularly analyze all project cost variances at a portfolio level to ensure actual/forecasted spends are on track to meet annual targets. Proactively communicate changes in forecasted annual spending with finance partners for overall business strategic planning.
  • Process and track invoices for projects. Ensure invoices are accurate and paid on-time. Analyze contractors’ invoicing trends vs projected and communicate discrepancies with Project Manager for further follow-up and action.
  • Quality control directives and change orders for misalignment with contractor standard terms, scope gaps, and redundant scope. Track project change orders and analyze common causes (unforeseen conditions, code compliance, new scope, etc.) to drive future improvements in scope development across the portfolio.
  • Ensure proper change management is followed throughout project lifecycles.
  • Track and maintain project schedules in collaboration with Project Managers. Ensure schedules include progress measurement reporting.
  • Prepare graphs, diagrams, and other reports to illustrate cost and schedule performance on projects and across portfolio.
  • Identify potential project risks/opportunities and their impacts. Recommend strategies to mitigate and/or capitalize on each.
  • Support RSP Sr. Manager with portfolio resource management by tracking and evaluating resource usage on projects across the portfolio.
  • Track and evaluate common third-party resources used by RSP team and other division partners. Strategize with partners to balance contractor workload across the business.
  • Analyze overall portfolio performance to develop lessons learned and drive improvements to future project development/execution and to project reporting tools/processes.
  • Develop and maintain portfolio tools, processes, and resources.

Qualifications

Education & Experience

  • B.S. in Engineering, Construction Management, Finance/Accounting, Business, or related field
  • A minimum of 3 years’ experience with project controls, project management, or project accounting in an engineering, construction, manufacturing, or related environment (themed entertainment industry preferred)
  • An equivalent combination of education and experience may be substituted as appropriate

Job Description

  • Review design documents for construction, completeness, corrections, and coordination and compile a list of comments. Review the existing facility status to evaluate what potential issues used to be addressed by the design documents.
  • Create a detailed work plan which identifies and sequences the activities needed to successfully complete the project

  • Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the project
  • Establish a communication schedule to update stakeholders including appropriate staff in the organization on the progress of the project
  • Review the quality of the work completed with the project team on a regular basis to ensure that it meets the project standards
  • Ensure that punch list and turn-over are completed to the stakeholder’s satisfaction.

  • Review, negotiate, and approve budgets – series, specials, development reels, pilots, additional episodes, breakage, etc.
