Job Title: Assistant Producer -Live Events (Virtual Associate Producer)

Employment Status: Full Time

Summary Of Role

As an Assistant Producer of Live Events, you will handle multiple projects simultaneously, pull all the projects over the finish line on time and within budget. You are disciplined and process-oriented, with the flexibility to adapt to the demands of a fast-paced and always changing work environment. Our Producers work side by side with our creative, account management and strategy teams to create meaningful content and experiences. You will manage projects with graceful tenacity and drive while partnering with internal and client teams.

Essential Functions

  • Developing budgets, working with creative, production and technical teams to adequately scope for the project
  • Setting up projects, with clear objectives, in the project management system and upkeeping schedules, tasks, budgets
  • Management of assigned teams (production, creative, technical) and workflows as per approved SOWs/budgets
  • Establishing and communicating timelines and expectations with internal staff in line with client expectations & communicating and sharing project timeline calendars with the client for review/approval
  • Managing production logistics and deliverables, including crew travel/accommodations (travel/load in & out/rehearsals/show) and room allocations, based on the client approved scope
  • Providing post-project summary report, including (but not limited to): scenic design vs pictures, agenda, key takeaways, challenges, areas of improvement, budget spend against allocated
  • Managing and mentoring junior level staff (coordinators)
  • Creating and managing purchase orders (PO’s) for vendors (account team)

Knowledge, Skills, Abilities

  • Display high levels of organization, with exceptional administration skills and flawless attention to detail
  • Ability to partner and work with internal agency producers, creative and account teams, developers, external production partners, vendors, and client
  • Ability to construct and manage budget and costs by effectively negotiating with clients, venues, and vendors
  • Comfortable assisting and developing the scope of work, estimates, and timelines for new business opportunities
  • Ability to handle multiple, high priority assignments with an effective resolution of conflicting priorities
  • Excellent organizational, analytical and planning skills
  • Strong problem-solving skills, including the ability to think creatively to contribute ideas that will drive value in a dynamic, client-centered environment
  • Adept at seeing around the corner to identify communication, logistical, financial or scheduling challenges

Education And Experience

  • 2-4 years of account/client management experience and/or 2-4 years of event planning/production experience
  • A proven track record of delivering results that demonstrates superb quality and integrity of the work
  • Experience working with different with Google document platforms (project management portal a plus
  • Experience identifying project risks, process inefficiencies and create/execute solutions
  • Have a background in events and/or real-world brand activation, as well as an interest in new and emerging technologies

This job operates currently in a remote capacity.

Position Type / Schedule

Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:00 a.m. to 6 p.m.

Travel

When COVID restrictions are lifted, minimal travel may be required for this position.

Compensation
