To oversee and manage the color workflow on assigned projects. Encourage and grow client relationships, along with supporting internal personnel collaboration. 

Main Duties

Artist

  • Drive artist schedule and manage one to two Colorists session time.
  • Face to face interaction with assigned Colorist regarding sessions, new specs, and clientele.
  • Coordinate Colorist time off with the color production team.

Clients

  • Act as the main point of contact for clients, via e-mail, phone, in-person meetings.
  • Maintain effective communication with clients regarding deliverables and job status, including billing updates when workflow changes;
  • E-mail prep guide, contact clients for specs and update all Work Order specs.

Bidding and Budget

  • Gather all key information (boards, rough-cuts, source material, schedule, & delivery specifications, etc.) necessary to bid & manage project.
  • Regularly communicate budget status to clients.
  • Establishing a project workflow with the EP to fit the clients’ budget.

Preparations for Projects/Sessions

  • Receive a PO for project and/or session prior to its commencement.
  • Have credit card authorization filled out and submitted to accounting prior to session for any COD clients.
  • Obtain all project details, source, delivery and shipping specs prior to the session.
  • Ensure all specs fit within the clients booked time and will meet their delivery deadlines.
  • Work with EP/ Ops to find alternative workflows to accommodate the clients’ delivery deadlines.
  • Ensure clients are aware of how and where to deliver elements
  • Make sure all necessary elements and prep are acquired prior to session allowing for adequate prep time.
  • Verify project is built and setup prior to session start / client arrival. Arrive a half-hour before first sup’d session when needed, double checking complicated setups/laydowns, etc.
  • Communicate weekend and holiday staffing needs to the production team.
  • Coordinate and schedule meetings with internal team on complex projects.

Execution of Job

  • Create Work Orders for all billable, non-billable, testing and pro bono work. No work is to be done without a Work Order, no exceptions. Generate work orders based on the approved work order template.
  • Ensure that the production team is aware of any special set-up needs per project.[polycom, food orders…]
  • Greet and escort clients to the bays upon arrival.
  • Check in on artist, clients, color assists, and client services on a regular basis to make sure the session is well supported. The client should feel the producer’s presence and know that you are taking care of them.
  • Organize, supervise and monitor the progress of a session to make sure it is on schedule.
  • Make the production coordinator team aware of any known pick up shots coming their way
  • Update WO and the production coordinator team with any spec changes.
  • Communicate any machine downtime to production, operations, engineering, and clients and arrange for other solutions to keep the session on schedule.
  • Keep track of all elements pertaining to the projects being produced.
  • Supervise evening and weekend sessions (if required)

Final Delivery

  • Coordinate the delivery of all required elements by the desired deadline date with the client/vault.
  • Email (via vault or yourself) the client all proper tracking information including contents and expected delivery date/time to the requested location.
  • Prepare & send all elements (credit lists, still frames, completed commercials), to our PR division for proper publicity.
  • Follow up with client after session to ensure all elements were received timely and accurately.

Final Billing

  • Work with accounting to make sure the billing is properly done in accordance to the client’s needs.
  • Make sure all Work Orders are reviewed and actualized by yourself (with applicable accounting information: i.e. rates, billable hours, etc)

What You Bring

  • A solid understanding and background in Post-Production workflow.
  • Media Pulse and/ or post production scheduling software experience
  • Basic knowledge of offline editing workflows including but not limited to the understanding of EDL, XML, and AAF.
  • Knowledge of file based workflow
  • Excellent working knowledge with MS Excel, and at least one working experience with a production shot/asset tracking system.

  • Collaborate on site selection/ layout and floor plan in conjunction with Producers, Production and Operations
  • Oversee all creative installs and tear downs
  • Create and oversee Creative Production workback schedule and ensure it’s being adhered to
  • Work directly with producers & operations to create a best in class experience that still fits within the constraints of a budget
  • Work with Production Director to ensure all Creative Production vendor paperwork and spends are being tracked in accordance with project processes

Knowledge, Skills and Abilities:

  • Proven experience as a creative producer for 5-7 years
  • Bachelor’s degree preferably related to experiential production. Relevant experience, skill and/or education may be considered in lieu of degree.
  • A portfolio of original, creative, hosted video work
  • Substantive experience in media production and project management
  • Experience working on and concepting experiential events or a willingness to learn
  • Strong, hands on knowledge of youth culture and the current media landscape, including a high degree of fluency in entertainment, and music
  • Strong storytelling skills and the ability to clearly convey ideas through proposals, decks and client-facing presentations
  • Outstanding leadership and organization skills
  • Excellent relationship-building and influence skills

Job Description

Goal Overview

To oversee the episodic assistants while providing support for production.

Associate Producer Responsibilities

Production Support

  • Firsthand communication with Producers upon arrival and throughout the day.
  • Keep the production team up to date on project status.
  • Generate prep and post status reports.
  • Working with the production team to manage project SAN space.

Assistants Team

  • Ensure your assists have all the information and elements require to perform and complete their tasks.
  • Evaluate and reprioritize tasks as needed to accommodate changes in the daily schedule.
  • Organize your assistants’ tasks to ensure projects meet their deadlines.

Preparations for Projects/Sessions

  • Assist producers in WO and task creation, job spec wrangling
  • Actualizing and billing out work orders.
  • Confirm all material needed for project has arrived and has been forwarded to the appropriate individual(s)
  • Interface with client if required materials for jobs are missing (i.e. rough cut, drives, etc.)
  • Coordinate with Operations the rental and installations of any additional resources needed for projects.

Execution of Job

  • Ensure all resources assigned to job are available as scheduled
  • Make sure projects are ready for sessions to begin on time.
  • Verifying project prep for any issues and/or missing items, and communicating them with the Producer and client.
  • Communicate all session changes to Producer
  • Work with Producer and assistants to troubleshoot any session related problems
  • Assist in greeting and escorting clients to the bays upon arrival.
  • Assist in checking in on artists, clients, assists, and client services on a regular basis to make sure the session is well supported. The client should feel the producer’s presence and know that you are taking care of them.

Final Delivery

  • Work with the vault to ensure delivery specs have been met
  • Notify the Producer if any delivery deadlines that will or are in jeopardy of being missed
  • Coordinate the archive of final VAM and CCM

Final Billing

  • Ensuring all work orders and tasks are filled out and submitted, following up where needed.
  • Actualize work orders for Producers sign off.

Virtual Sessions

  • Setting up test feeds prior to session, including all face to face virtual interaction.
  • Communicating with our Engineers if any network issues arise.

Engineering

  • Engage Engineering staff to resolve urgent technical problems
  • Ensure all rental resources are set-up and tested

Requirements / Background

  • 2 year TV Post Production
  • Knowledge of digital capture cameras and files
  • Background and/or knowledge of offline editing
  • Avid and/or FCP experience
  • File based workflow experience
  • Media Pulse and/ or post production scheduling software experience
  • Post scheduling experience

The Role

No two videos are ever the same. You could find Cal in Bristol surfing artificially created waves as part of Movember’s latest campaign on a Monday. And just the very next day, it’s a weird and wonderful disused nuclear bunker in Essex. 

We’re looking for someone with ideally 3-5 years experience in video production and managing bigger bespoke shoots. With that being said, knowledge and drive won’t stop the right candidate from shining through. 

The role would need to include but is not limited to; working alongside creative producers, liaising and booking crew/locations, casting, running video budgets of varying scales, supervising the post-production process, and overseeing any commercial/branded projects.

Cal is keen to hire a fun, organised, and friendly person. Starting asap.

We are offering an initial 3 month contract, but very much with a view to bringing someone in on a more FT basis.
