If you have an interest in putting on events from start to finish then consider joining Hilton Grand Vacations as a Sr. Specialist, Associate Producer. As a member of the team you will have the outstanding opportunity to provide administrative and production support to the Social Media department through consolidating requests, information, reservations, etc. from business partners, clients, and vendors. This consolidation will allow for a seamless transition into coordinating the events themselves. This role will include ensuring pre- and post-production processes are handled, maintained, and completed successfully.
What will I be doing?
- Partnering with leadership on the creation and management of production schedules.
- Gather asset requests and ensure cross-functional partners’ needs are clear and accounted for prior to all shoots for both domestic and international markets.
- Assist in booking of locations, food services, permits, etc. for all shoots.
- Assist Sr. Manager of Social with on-set production as needed. This includes coordinating flow of shoot, ensuring accuracy with samples and outfits, communicating specifics of each shot to internal creative lead, photographer, assessing and securing backgrounds set designs, and leading freelance support.
- Coordinate shipment of vital items for events and photo shoots.
- Create call sheets in partnership, ensuring all talent and vendors are organized and prepared.
- Partner with new vendors to ensure all new vendor W-8 paperwork is completed prior to photo shoot and talent is setup properly in systems.
- Other duties as assigned to support Hilton Grand Vacations photo shoots.
- Familiarity with all stages of event planning, design, and production of events.
- Ability to successfully run event planning tasks within time limits.
- Coordinate with internal clients to gain insights into specific needs and event requirements.
- Develop event shot list and ensure upload process is timely and accurate.
- Supports comprehensive run-of-show plans, creative needs and timelines for events.
- Serves as day-of photography and videography for external vendors and supports back-of-house show-runner.
- Collaborate closely with external videographers and photographers to ensure shot list is completed.
- Collaborate with clients to ensure proper photographic coverage of sponsorship activations and events.
Required Qualifications:
- Bachelor’s Degree
- 3+years’ experience in special events and production
- Strong verbal and written communication skills
- Highly organized and detail oriented and prioritize multiple task
- Ability to work in a team and assist in the execution of fast-paced special events
- Skilled using MS Office applications
- Ability to adapt well to changing priorities
Preferred Qualifications
- 2+yesars of management and supervisory experience
- Previous Workfront experience is advantageous
- Event planning and project management experience a plus
- Position can be remote for those not local to Orlando. Candidates in Orlando would have hybrid schedule.
