About the Role:

The A List is seeking an enthusiastic and collaborative coordinator to the Special Projects and Events team. This is a great opportunity to join a fast-growing team and make a positive impact within the company. The role will include heavy scheduling, administrative support and coordinating in events and partnerships. An ideal candidate will be personable, calm and organized under pressure, have the ability to multitask and problem solve, and is eager to learn in a dynamic environment.

Roles + Responsibilities:

  • Schedule meetings, calls and appointments and maintain calendars for the team
  • Take detailed notes on any client calls and circulate to team
  • Support on celebrity and digital influencer programs and events including (and not limited to) updating client status reports, placing orders for products, maintaining spreadsheets, ideating talent lists, working on site at events, booking travel & cars for talent, submitting invoicing, etc.
  • Manage and update wrap reports and case studies (deck building) for the team
  • Identify and keep up to date with social media trends
  • Create and circulate newsletters to the entire team regarding industry news and upcoming film/music/tv releases
  • Provide administrative support on special projects client accounts

Requirements:

  • Entry level or 1 year entertainment coordinator experience
  • Ability to make independent decisions on a daily basis, addressing the best way to handle specific tasks
  • Organization and prioritization are the core elements of this position’s responsibilities. You must know how to keep yourself and others organized and how to prioritize tasks.
  • Must possess strong writing skills and be proficient in a variety of styles, from creative to professional to technical to education and more.
  • Knowledge of G Suite, Powerpoint, Canva, Adobe Illustrator and Photoshop
  • Must be located in Los Angeles, CA

About the Role:

The A List seeks an enthusiastic and personable assistant who is hyper-organized, has a minimum of 1 year agency experience and is passionate about pop culture and entertainment. This is a great opportunity to join a fast-growing team and make a positive impact within the agency.

Responsibilities include heavy scheduling and calendar management, providing administrative and client support, and supporting our Events & Special Projects team. An ideal candidate will be engaging, calm and organized under pressure, have the ability to multitask, an excellent work ethic, and eager to learn — opportunity for growth with a passion for pop culture and entertainment is a MUST.

Roles + Responsibilities:

  • Handle administrative duties including scheduling meetings, calls and appointments, calendar management, scheduling travel and organizing/preparing expense reports.
  • Support on events and special projects including (and not limited to) updating client status reports, tracking RSVPs, tracking social placements, creating face sheets, etc.
  • Manage and update all events and special projects case studies and digital wrap reports.
  • Create pitch materials and case studies for current and potential clients.
  • Stay up-to-date on current events within the entertainment landscape specifically in regards to brands
  • and talent.
  • Occasionally support any of the founder’s personal needs

Skills & Qualifications:

  • Ability to make independent decisions on a daily basis, meet tight deadlines, and work well in a fast-paced environment while addressing the best way to handle specific tasks.
  • Must collaborate with other administrators and support personnel, management and clients on a regular basis.
  • Attention to detail, strong organization and problem solving skills are a must and are core elements of this position’s responsibilities. You must know how to keep yourself and others organized and how to determine which tasks are the most important in a given list.
  • Strong communication skills, both written and verbal including punctuation and sentence structure are essential to the administrative assistant role.
  • Extremely proficient in Google Suite applications, Microsoft Suite, Canva, Adobe Illustrator and Photoshop.

Experience:

  • Experience: 1-2 years agency experience in marketing/events and special projects within entertainment/fashion preferred

The role will include heavy scheduling, administrative support and maintaining The A List Showroom. An ideal candidate will be personable, calm and organized under pressure, have the ability to multitask and problem solve, and is eager to learn in a dynamic environment.

Roles + Responsibilities:

  • Schedule meetings, calls and appointments and maintain calendars for showroom team
  • Take detailed notes on any client calls and format to circulate to team
  • Support on celebrity and digital influencer seedings/giftings including (and not limited to) updating client status reports, placing orders for products, maintaining spreadsheets, organizing shipping and receiving, tracking talent placements, keeping inventory, etc.
  • Manage and update select retainer client wrap reports and case studies
  • Identify and keep up to date with social media trends
  • Unpacking merchandise and pulling gifting package
  • Provide support on all showroom admin as needed

Requirements:

  • Entry level or 1 year entertainment assistant experience
  • Love and knowledge of pop-culture, fashion and trends
  • Ability to make independent decisions on a daily basis, addressing the best way to handle specific tasks
