Role Overview: The Associate Producer is a supporting role on the Production team, with the opportunity to lead and manage and own smaller scale projects. The Associate Producer reports to either the Director of Production or the Project Director, but may be assigned to support other Producers and project teams as needs require. This is a hybrid role, requiring 1-2 days per week in our Brooklyn, NY office.
Capabilities & Qualifications:
- Prior experience and exposure to event production, ideally with at least an internship at an agency
- Understanding of overall project lifecycle, production timelines and production processes
- Excellent written, oral and interpersonal communication skills
- Strong organizational skills and attention to detail
- Proactive, resourceful, solution-oriented and ability to remain calm under pressure
- Ability to multi-task and work efficiently under tight deadlines
- Actively pursues increased responsibility and autonomy
- A strong desire to increase production knowledge and skills
- Ability to draft preliminary budgets in conjunction with Supervisor
- Basic understanding of profitability and cost vs. revenue goals
- Ability to work within a fast-paced environment, flexibility to adapt to rapidly changing priorities and information
- Ability to manage up and navigate competing priorities and deadlines
- Proficiency in google suite (docs, sheets and slides)
- Basic to intermediate knowledge of spreadsheets + excel formulas
- Ability to travel for projects as requiredÂ
Key Responsibilities:Â
- Take direction from Supervisor or lead producer, supporting assigned projects as needed
- Manage smaller projects or pieces of projects with oversight
- Project management of production deliverables, timelines, agendas, ensuring results are supporting the team and moving the project forward
- Attend key production meetings including kick-offs, mid-point and final production meetings for assigned projects
- Draft client or vendor emails for Supervisor approval
- Vendor research, outreach and estimate tracking as assigned
- Budget support, including creation and tracking of estimates and actualsÂ
- Participate in internal status calls and production meetings, leading discussion for assigned areas of responsibility
- Comprehension of agency processes, department roles and responsibilities and overall workflow
- Comprehension of project / client priorities and KPIs
- Serve as primary liaison between vendors and agency, secondary point of contact for clients
- Key document creation including agendas, call recaps, meeting notes, and production documents as needed
- Utilization of TXG’s internal project management system, keeping it up to date as needed
- Post-project closeouts, including budget/P&L reconciliation and wrap decks
- Participate in brainstorms and debriefs as requested
- Submit time tracking and expenses weekly based on the Operations department’s stated deadlines
