Executive Assistant for a High-profile A-List Entertainment Professional.
The Executive Assistant primarily supports the lead Principal in day-to-day personal, estate and administrative tasks along with long-term business and estate projects. The EA must be comfortable working directly with executives, talent, vendors as well as internally with other estate team members (e.g., Personal Assistants, Company Assistants, Estate Staff, Security) to ensure that the Principal is operating at the highest level and is achieving their highest priorities. MUST have 2-3 years of direct experience in executive support or estate management. Responsible, reliable, and trustworthy. The responsibilities of the position require flexible availability. Living near Los Feliz is preferred but not required.

About the Role:
Estate: EA will oversee the household staff and manage contractors for home maintenance. Manage essential and support staff (e.g., driver, security, housekeeping, chefs, maintenance, landscaping, personal care). Supervising, scheduling, coordinating, and overseeing special projects, including meetings, parties and special events. Screening, evaluating, redirecting and/or responding to telephone calls, text messages, emails, coordinating with Business Management on bills, insurance and other personal affairs and written communications on behalf of the Principal. Interaction with extended family and scheduling of important dates. Make decisions and recommendations regarding confidential and sensitive issues.

Administrative: EA will maintain an efficient and effective flow of information between the various companies in which the Principal is involved, and with the Principal’s internal and external contacts. Schedule all appointments and other commitments of the Principal. Serve as gatekeeper of information and movement. Spearhead travel planning and execution. Drive Principal to meetings and appointments. Lead teams in planning and executing successful meetings, parties, and other social & professional events. Compose personal correspondence on behalf of the Principal. Manage procurement of goods and services on behalf of the Principal. Travel with the Principal as necessary and manage travel-related needs and emergencies. Select and arrange travel, accommodations, and entertainment for visitors. Create, proofread, modify, and send letters, emails, memos, and other documents. Plan and execute personal gift-giving for the Principal and perform other administrative duties as needed.
What You’ll Have:
- Bachelor’s Degree preferred
- 2-3 years’ experience working closely with one or more high profile Principals
- Estate, facilities, or project management experience a plus
- Confident decision-maker with keen ability to take prompt action
- Effective management of subordinates, vendors, and contractors
- Able to drive projects to on-time, on-budget outcomes
- Fluency with G-Suite (email, calendar), Zoom, and MS Office Products (Word, PowerPoint, Excel); Final Draft a plus
- A valid driver’s license and reliable self-transportation
- Excellent interpersonal skills
- Strong written and verbal communication skills
- Ability to manage time effectively and to be motivated, reliable, and a self-starter
- Demonstrated ability to work collaboratively
- Sound judgment and ability to handle sensitive materials with a high degree of confidentiality
