JOB TITLE: PR and Marketing Coordinator

DEPARTMENT: Marketing

REPORTS TO: Sr. Manager, PR

COMPENSATION: Pay Grade 2: $56,900-$65,000

STATUS: Full-time, exempt

Building on 90-years of innovation and excellence, Tamara Rojo’s Inaugural Season as Artistic Director charts a new era in ballet.

DEPARTMENT

Marketing will raise the relevance and profile of San Francisco Ballet and Artistic Director Tamara Rojo locally, nationally, and globally to attract a new and diverse audience and retain devoted patrons, while meeting earned revenue goals with performance promotions.

SUMMARY OF THE ROLE

In this role, you are responsible for supporting PR efforts and operations of the Marketing team. You’ll work with your peers across departments (e.g., Marketing, Education and Training, Development, Artistic). If you enjoy publicizing and promoting the performing arts, and are a motivated project manager, communicator, and relationship-builder, this may be the job for you.

RESPONSIBILITIES

Media Relationships – 60%

  • Pitch stories to media related to SF Ballet’s programming; build and own relationships with key media contacts
  • Load press releases into PR software, and maintain SF Ballet’s press site in a timely manner
  • Accurately manage press ticket requests and invitations, procure media assets for publications, and submit calendar listings
  • Collate/create press kits and update SF Ballet’s press contacts in Excel
  • Assist in the monitoring and set up the press room on performance evenings and at special events
  • Monitor press clippings and prepare coverage reports

Editorial – 10%

  • Update dancer biographies annually, procure and edit; maintain updates on the website
  • Assist in writing and/or editing other marketing materials, as needed

Marketing Administration – 25%

  • Maintain marketing announcements on SharePoint
  • Maintain annual Budget v. Actual invoice spreadsheet, checking accuracy
  • Assist with on-site coordination of program book delivery and loading promotional materials (i.e. signage, decor) into the Opera House
  • Assist in administrative tasks that support the Marketing team, including supporting department meetings, outings, presentations, and Asana boards, etc.
  • Coordinate with Artistic, Education & Training to include artist appearances as needed
  • Assist in the project management of non-campaign related photo shoots, including coordination of logistics with SF Ballet’s internal departments (Development/E&T) and photographer’s team, as needed

Organizational Engagement – 5%

  • Participate in departmental and organizational events, performances, and promotional appearances including some evenings and weekends

QUALIFICATIONS:

  • BS or BA in Marketing, Communications, or related field, or equivalent experience
  • 2-4 years’ experience in PR; agency experience preferred
  • Strong written and oral communication skills, treating confidential/sensitive information appropriately
  • Proficient in effective and efficient project management, meeting deadlines and budgetswith attention to detail; experience with Asana or similar tool a plus
  • You possess excellent communication and relationship-building skills with colleagues, partners and clients with utmost integrity, courtesy and diplomacy
  • Ability to work independently as well as collaborate with an integrated team in a fast-paced environment
  • Good judgment and ability to handle responses from stakeholders
  • You are capable of embracing the ideas of others and seek to understand others’ points of view in order to further our shared mission and vision
  • Display problem-solving skills – Identify issues and respond with solutions
  • Live event marketing experience in a ticketing-based environment a strong plus
  • Interest in performing arts is essential, background in ballet is helpful

We are looking for a passionate, highly skilled, committed, and empathic Rehearsal Director to join our Artistic Team, who demonstrates wide knowledge and high-level experience of the artform. You will need to have extensive, previous experience of coaching both classical and contemporary repertoire, assisting choreographers in creations, setting existing works, teaching classes, and mentoring and supporting dancers throughout their careers.

Place of Work: San Francisco Ballet, 455 Franklin Street, San Francisco, CA 94102

Hours of Work: Normal company hours during rehearsal weeks are Monday to Friday 10.00am – 6.30pm with suitable breaks. During performance weeks, hours are variable and evening and weekend working will be required.

KEY RESPONSIBILITIES

Studio Rehearsals

  • To assist choreographers and producers in the staging of new work, and record and document changes in choreography as required. To rehearse and maintain standards of existing repertoire, maximizing dancers technical and artistic capability, and in the absence of the original choreographer or producer, be fully conversant with the choreographers artistic intentions including preparation and learning of these works using videos and/or notation scores provided by the Company.
  • To ensure the Agreement of Conduct is implemented and respected in rehearsals by choreographers, repetiteurs, guest teachers, and dancers.
  • To liaise with the Director of Artistic Operations and the Executive Rehearsal Director in planning the weekly rehearsal schedule
  • To support the maintenance of dancers’ technique by providing general training (class) to an outstanding level and deliver individual and remedial coaching as necessary to all ranks of artists, soloists, and principals as appropriate.
  • To commit to maintaining effective team-working within the studio, exampling genuine collaboration

Production rehearsals and performances

  • In conjunction with the Artistic Director, Executive Rehearsal Director, and the Artistic Team, monitor stage rehearsals to ensure that all choreography is accurately reproduced and monitor performances to ensure that artistic and professional excellence is maintained
  • To provide regular performance feedback to company dancers as appropriate, depending on venue and setting
  • To contribute to the casting of all performances – both general and daily, in addition to adhering to all amendments to daily casting at each performance venue

Management

  • To attend all weekly artistic team meetings and full Company meetings
  • To keep updated on information related to the Company’s schedule, artistic vision, current dancers, upcoming productions, rehearsals, and performances.
  • To check emails regularly and send/receive/file emails for digital documentation
  • To audition and recruit new dancers for the Company and provide feedback on auditionees to the rest of the Artistic Team
  • To provide input for dancers evaluation meetings
  • To mentor dancers assisting in rehearsals, and ensure they understand and respect the Company Agreement of Conduct
  • To monitor individual dancers professional standards in rehearsal and performance, providing feedback and guidance as appropriate, depending on venue and setting
  • To assist with the effective management of the Company so that a high level of professional excellence and morale is maintained.
  • To assist in developing and maintaining effective team-working within and between departments and locations
  • To deliver other such duties as may be required by the Line Manager or Directorate

General

  • Sustain a strong collaborative artistic partnership with the Artistic Director, Associate Artistic Director, and Executive Rehearsal Director
  • Display the ability to lead, teach, and inspire company dancers.
  • To be committed to attend any professional development/management training which supports the role.
  • Show a broad knowledge of the international dance scene, a strong work ethic and excellent communication skills.
  • To be an ambassador and representative for the company and its artistic objectives and always acts in the best interest of the company.
  • To attend Development and Fundraising events, and act as an Ambassador for the Department
  • Respect confidentiality of all parties and communication
  • To participate in the provision of a safe working environment
  • To maintain a strong team ethic within the department and Company
  • To attend an Annual Evaluation meeting with the Artistic Director and the Associate Artistic Director

Authority

  • To assess and effectively communicate the rehearsal requirements to dancers and lead rehearsals.
  • To amend casting as needed (consulting the Artistic Director/Executive Rehearsal Director where appropriate)
