Job Description
The Event Manager will oversee the life cycle of assigned events, including managing food and beverage activities and services to ensure the smooth execution of all functions and events for Ole Red Las Vegas, a restaurant, bar, and entertainment venue. Will direct service staff in the successful execution of private and special events. Reports to Director of Event Sales.
Responsibilities:
- Represent company in communicating with prospective clients, planners and vendors, including checking availability and placing holds, conducting site visits, creating budget estimates, and explaining venue policies, procedures and best practices.
- Serve as primary point of contact with rental and special event clients from event confirmation through event completion, ensuring excellent customer service. Work with clients to build master project plans that address specific objectives and needs. Formulate detailed timelines, spatial layouts and other event specifics to share with internal teams as appropriate. Create and manage budgets keeping clients informed of any deviations from plan.
- Collaborate with internal departments and vendors on creative development and advancement of events and special projects. Manage and clearly describe objectives regarding marketing, schedules, staffing and equipment needs to ensure success.
- Review all banquet event orders to ensure they are correct and distributed accordingly. Act as a liaison to the kitchen staff prior to event; coordinate with the culinary team regarding menu selections and service and timing details prior to event. Create buffet/table diagrams and station assignments for all assigned functions. Lead event set up, ensuring cleanliness and safety and that all event rooms are set per client request. Prepare server packets prior to event to include run-of-show, BEO, floor plan, and buffet/table diagrams.
- Conduct pre- and post-shift meetings for all events. Actively lead and participate in servicing clients for all required functions and supervise servers to ensure all service standards are met.
- Greet and align with clients prior to event, serving as main point of contact. Collaborate with internal departments and vendors to ensure all objectives are met and all stakeholders are satisfied, handling guest and maintenance issues, etc., as necessary. Maximize upsell opportunities.
- Ensure all invoices and paperwork are submitted to Accounting promptly and within deadlines. Responsible for ensuring all monies are collected prior to each event. Maintain procedural documentation to meet all internal accounting, audit and financial controls.
- Work with sales and venue leadership to manage event calendar to create the greatest utilization, revenue, profit, and business and operational efficiencies.
- Project supply needs for the department (dishes, linen, glass, silver, buffet presentations, props, décor), understanding the impact of flawless event operations to maximize customer satisfaction. Control and monitor the inventory of supplies, equipment, and furniture. Purchase decor and small wares as needed.
- Provide staff with necessary training, including customer service, serving etiquette and new food and beverage offerings.
- Communicate and uphold all corporate standards, guidelines, policies and procedures in accordance with local, state and federal laws and regulations. Maintain personal integrity by abiding by and supporting the values and principles of the company. Follow and support brand SOPs.

Requirements
Education
- Degree in Business, Hotel & Restaurant Management, Hospitality Business Administration or related field or equivalent additional experience required
Experience
- 3+ years experience in food & beverage or event planning and production
- Experience with principles of restaurant management, services, and equipment helpful
- Experience using event calendar/tracking system such as Tripleseat Guest & Event Management preferred

The Manager of Event Sales will contribute to the success of the Ole Red Events and Catering Sales department. This position will sell and organize private events at Ole Red Orlando within guidelines established by the venue to include defined market segments and sales strategies.
- Actively solicit new business opportunities by conducting effective sales calls, out-of-the-office sales calls, and presentations to potential clients; handle special event inquiry calls, negotiate space, assist with development of catering menus, create event proposals and conduct site inspections.
- Represent company in communicating with prospective clients, planners and vendors, including checking availability and placing holds, conducting site visits, creating budget estimates, and explaining venue policies, procedures and best practices.
- Generate new leads from cold calls and negotiate and close contracts.
- Monitor changes in the sales/special events industry in geographic areas and develop strategies to improve and adjust to those changes.
- Evaluate and identify potential business from existing corporate and entertainment clients.
- Ensure all accounting paperwork is accurate; responsible for collecting all monies/deposits before each event, along with contracts and insurance coverage, and ensuring all event-related documents are correctly processed.
- Attend weekly meetings with operations management to review upcoming events for the week and attend staff pre-shift on event nights.
- Assist with developing and enhancing catering and banquet menus that promote upselling options based on dynamic pricing opportunities.
- Ensure event is accurately scheduled in Tripleseat to ensure no conflicts with other departments and to identify booking opportunities.
- Track revenue and expenses throughout event lifecycle, keeping client informed of any deviations from budget. Compile final revenue and expense reports, including appropriate backup, for financial settlements. Conduct onsite settlements when necessary and work with accounting for post-show settlements.
- Achieve overall financial sales goals and targets.

Education
- High school diploma or equivalent required; some college preferred

The VIP Manager will lead the VIP Services program with the goal of delivering exceptional service to guests through unforgettable experiences at a restaurant, bar, and entertainment destination. This person will collaborate with venue leadership and operations in developing a strategic plan to maximize exposure, revenue, and overall guest satisfaction for the VIP Services program. Reports to General Manager.
This position includes base salary + commission.
Responsibilities include:
- Develop and grow the VIP Services program by establishing and maintaining positive working relationships with key stakeholders, including but not limited to VIP guests, influencers, casino hosts, hotel concierges, group sales departments, and industry contacts.
- Engage in networking activities, attend industry events, and build a personal network of high-profile relationships. Identify opportunities to enhance the VIP experience through partnerships, collaborations, and special offerings.
- Provide information about the venue’s offerings, including VIP services, bottle service, and special events. Promote and upsell VIP services, packages, and promotions to maximize VIP table sales and profitability.
- Proactively communicate with VIP guests through various channels, including phone calls, emails, and personalized invitations to special events. Maintain client information in reservation management system while facilitating reservation requests promptly and without error.
- Coordinate VIP services for high-profile VIP guests and clients creating personalized experiences. Collaborate with internal departments and vendors on creative development and advancement of events and special projects. Manage and clearly describe objectives regarding marketing, schedules, staffing and equipment needs to ensure success.
- Communicate and collaborate with venue operations for the flawless execution of guest experiences. Attend weekly meetings with operations management to review upcoming events for the week and attend staff pre-shift before events.
- Lead the VIP Services team in delivering exceptional service to guests through unforgettable experiences. Provide team with necessary training, including customer service, serving etiquette and new food and beverage offerings.
- Actively participate in attracting, selecting, and developing VIP Services team. Communicate performance expectations and deliver timely feedback.
- Develop and maintain process standards and SOPs for the VIP Services program to follow.
- Maintain high level of visibility throughout the facility and build guest loyalty by exceeding all expectations in service and dependability.
- Ensure consistent and positive guest service in all areas through continuous interaction and feedback requests. Continually seek improvements in operations and guest service standards through learnings and best-in-class industry trends and practices.
- Fulfill the hospitality, amenity and logistical requests for artists/musicians when in residence. Ensure maintenance of the artist/musician backstage greenroom space.
- Collaborate with venue leadership and sales and marketing teams on a strategic plan to maximize productivity, profit, and overall guest satisfaction for the VIP Services program.
- Maintain and meet all marketing requirements such as guest list, contact information forms, and social media outreach needs.
- Monitor VIP guest spending patterns and provide recommendations for personalized offerings and incentives.
- Provide weekly reporting of sales and reservation metrics and other ad-hoc reporting as needed.

Requirements
Education
- High school diploma or equivalent required; college degree preferred
- Degree in hotel/restaurant management is desired; a combination of practical experience and education will be considered as an alternative
Experience
- 3+ years sales or VIP services experience preferred
- Experience in social media marketing preferred
