Executive Assistant Coordinator (Music Videos)

GENERAL RESONSIBILITIES AND EXPERIENCE:Â
Our perfect candidate will be passionate about Music Videos and short form production, thrives in high pressure environments, processes tasks quickly with precise detail, is extremely driven and organized, self-sufficient, has an outstanding work ethic and most importantly, has real “working” entertainment experience within a production or commercial environment.
•       Support all administrative tasks for an extremely busy Executive Producer (maintaining a calendar, scheduling meetings, updating and maintaining contacts, generating and distributing reports, processing invoices and expense reports, and arranging complex and detailed travel plans and itineraries).
•       Manage Music Video crew holds/crew lists. 

•       Job research and bid support 
(while learning bidding/bid smaller jobs). 

•       Manage Music Video drop box database (production files/wrap).Â
•       Provide production support on in house led projects.
•       Manage and keep start up package forms current. 

•       Track, maintain, and update directors preferred crew. 

•       Confirm awarded budget and create award form. 

•       Attend Start Up/Wrap Meetings. 

•       Get bid specs, contract, NDA , budget and complete link to teams.
•       Production support – Rental Agreements, AHA. 

•       Oversee Production teams.Â
•       Send out Music Video award emails / forms.
•       Work with Production Supervisor on sending job links.
•       Work with Production Supervisor on insurance check list, deal memos and agreements.
•       Keep Music Video crew sheet and rates updated.
BASIC QUALIFICATIONS:Â
Minimum of 3 years of working experience in production. This is not an entry level role.
ADDITIONAL QUALIFICATIONS:Â
•       Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel)
•       Strong working knowledge of drop box and Google Suite
•       Excellent analytical, verbal, writing/drafting, presentation, organizational, and negotiation skills
•       Strong emotional, social, and cultural intelligence
•       Ability to build relationships in a professional and inclusive manner
•       Drive to think creatively and proactively on strategy, innovation, workflow, risk, and problem-solving
•       Takes initiative, skilled in prioritizing and managing tasks in a fast-paced environment
COMPENSATION:Â
The annual base salary for this position is in the range of $48,000-$58,000. This position also is eligible for overtime, benefits and discretionary bonus. Ultimately, the salary may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria. This is not a REMOTE nor a HYBRID position. This role is an 100% in office role, out of Culver City.

The ideal candidate will be responsible for creating and executing our marketing strategy. You will lead our marketing campaigns, evaluate our marketing performance metrics, and collaborate with internal teams. You will have a strong marketing background, excellent communication skills, and attention to detail.
Responsibilities
- Create detailed promotional and advertising plans identifying targeted demographics for each show.
- Strategize and research new marketing trends and practices to apply to any live shows and tours
- Monitor the purchase of flight plans and promotions for different locations and partner with the public relations team to strategize
- Oversee the marketing department, including progress and performance, to ensure assigned work is completed correctly and on deadlines.
- Work closely with the promoter, booking agent, artist’s agent, and management to determine marketing budgets.
- Provide short and long-term market forecasts and reports by directing market research collection, analysis, and interpretation of market data.
- Develop new strategies for existing events by analyzing statistics regarding market development, acquiring and analyzing data, and consulting with internal and external sources.
- Create ad plans for tours and one-off shows.
- Responsible for the creation of press releases, securing promotion, overseeing the creation of advertising materials, and executing a marketing plan
- Brainstorm to develop new techniques for promotions and interactions with artists.
- Coordinate with PR agencies to send press releases and manage day-of-show lists.
- Coordinate press interviews and secure artist availability for promotions and interviews.
- Maintain professional and technical knowledge by reviewing professional publications, establishing personal networks, and participating in professional societies.
- Follow up with media outlets and artist management on additional marketing opportunities to increase ticket sales.
- Liaison with media, publicists, venues, and artist management
- Organize and submit ticket holds for promotions, media, and artist management to the ticketing department
- Responsible for media buying and invoicing for all live shows
Qualifications
- Bachelor’s degree or equivalent experience
- 3+ years experience in marketing
- Ability to multi-task
- Strong verbal, written, and organizational skills
- Excellent computer skills with proficiency in Google Docs, Microsoft Word and Excel, Gmail, Acrobat, and Photoshop
- Knowledge of brand identity, advertising, digital marketing, and social media strategy
- Strong interpersonal skills with the ability to create and foster relationships
- Knowledge of media buying, negotiating, and documenting agreements
- Strong organizational skills with exceptional attention to detail
- MUST HAVE: Knowledge of the comedy/music industry and artist demographics
