  • Works closely with Lead Consultant of Diversity on Equality First, our proprietary internal desktop and mobile application for DE&I-related content and is responsible for project management and production.
  • Reviews leadership development and recommends upgrades that help create connections and fuel DE&I conversations.

Roles and Responsibilities:

  • Develop and recommend the messaging and creative, in partnership with graphic designer, for amplification of films in the Equality First+ mobile app and DE&I newsletter.
  • Strategize, ideate and execute production of Client original content for the Equality First+ mobile app, in partnership with the DEI Lead Consultant and corporate Media Productions team.
  • Assist in the production, management, quality control and prioritization of content that originates from business units outside of HR and Employee Resource Groups.
  • Review and recommend changes/upgrades for various tracks of content for Equality First desktop platform and leadership development.
  • With multiple tracks simultaneously in motion for Equality First, manages contributing workstreams.
  • Build and manage Equality First content calendar, including coordinating with DE&I Lead Communications Manager, shepherding and tracking partner contracts through completion, and ensuring content in mobile app adheres to contractual commitments.

Job Title: Associate Manager- Meeting and Events
Location: Plano, TX
Includes 30% Travel

Job Description:
Client is seeking an experienced, event/planning professional This position contributes to company growth by creating and executing national and regional meetings for internal teams that enhance company culture and promotes relationships and retention. This position will collaborate, communicate, and interact with stakeholders at all levels to design, develop and execute events while adhering to timelines and stakeholder objectives.

They will be involved in all planning logistics to build these events including supplier selection/negotiation/management and planning responsibilities (F&B, transportation, communication, production, awards, entertainment, and branding).
Must be able to multitask, establish priorities, and work independently in an energetic, fast-paced environment. Must possess a strong sense of responsibility, accountability and professionalism and be detail oriented. Ability to work cooperatively with others is essential. Possessing a strong work ethic is a must!

This role is based in our Plano, TX office with up to 30% travel including extended overnight stays of 4-7 days if needed.

RESPONSIBILITIES
Demonstrates strong understanding of the event management industry. Plan all or various facets of events which may include managing sourcing of the event, site inspections, contracting, program communications, F&B, transportation, VIP requirements, registration, audio/visual production, entertainment, and post event evaluation process, etc.

Financial Acumen: Ability to develop complex budgets, accurately reconcile spending and spot opportunities for added value and savings
• Ability to independently develop and manage meeting and event budgets
• Full management of vendor financials, tracking spend, and ability to change scope to stay within the parameters of the budget

Negotiation & Partner Management: Ability to develop and lead negotiations to achieve the best value and maximize spend.
• Able to articulate expectations and shape scope for suppliers
• Creating timelines and managing expectations and raising issues with exceeding timelines

Industry Expert: Ability to deliver new creative ideas to drive engagement and elevate the attendee experience.

On Site Leadership: Provide onsite leadership and team management to agency partners, subcontractors, and all vendors. Manages and motivates teams to elevate event.

DESIRED EXPERIENCE AND QUALIFICATIONS
A Bachelor’s Degree required
5 – 8 years of previous event planning experience and on-site / field experience in supporting events
Must be detail-oriented with effective organizational and project management skills including the ability to manage multiple projects /tasks and deadlines simultaneously in a fast-paced, deadline-driven environment.
Strong computer skills especially Cvent, Microsoft Excel, Word, Outlook, and PowerPoint
Excellent verbal and written communication skills
Professional demeanor when interacting with internal clients and vendors
Ability to adjust work style to accommodate stakeholders’ ways of working
Flexible, can-do attitude
Works well under pressure, independently and as a strong team player

Job Description: The Production Manager (Producer) will be a critical matrix team partner for the Product and Engagement Planning teams, seeking to create a versatile role for marketing campaign management and execution across Digital and Print materials for a Brand book of work or a particular therapeutic area or franchise. The Producer Role is responsible for gathering estimates on production work efforts across tactics, based on established brand and engagement strategy plans for the upcoming year, ensures tactical campaigns aligned with the strategy are carried through and executed in the proper cadence, fed by content module approval and tactical activity calendar updates.

Key Responsibilities
• Obtains Production estimates for a book of work for a series of brands or Therapeutic area – provides the Production Management Lead with ongoing financial reporting across production/execution, reconciles on monthly basis.
• Cross-collaborates on the content planning timing in order to execute required campaigns
• Collaborates with Capability Leads, IT and Engagement Planner to schedule resources and plan executions
• Tracks 8 stages of cycle of campaigns and coordinates across the matrix to meet deadlines where timing may be challenged
• Is aware of KPIs and is informed of campaign analytics with Business Intelligence & Analytics to help assess content performance to prepare for course corrections and enhancements
• Performs QA and spot checking across materials for both digital and print
• Runs or attends status meetings for Brand or Therapeutic area with matrix participants
• Will learn Tools used to support project management, workflow, timelines, finances, etc. and inform improvements needed and in some cases lead a project with IT.

Education & Experience Requirements:
• Bachelor’s degree
• Campaign marketing
• 3+ years in marketing and/or activation in large complex organization
• 2+ years of Print and Digital marketing management planning and budget allocation experience
• 2+ years Project Management experience (PMP not required, but ideal)
• Familiarity with Agile Principles
• Understanding marketing data performance and how it informs decision-making
• Familiar with marketing asset specifications, templates, content management systems, workflows
• Highly organized and detailed oriented, accustomed to fast-paced settings
• Exceptional written and verbal communication skills, with demonstrated ability to write, collaborate on and edit communications and presentations where needed
• Has passion for the role, shares ideas, brings improvements forward, teaches others
• Experience managing external vendors, budgets and invoicing including vendor performance management
• P&L or knowledge of Budget Management required
• Excellent verbal and written communication skills are required
• Experience with all pharma marketing and launch scenarios, a plus.
