Travel Coordinator

As Travel Coordinator, you’ll work directly with our Travel Administrator and travel agency to accommodate travel needs for company employees, clients, and others with authorization. The Travel Coordinator will arrange business travel while identifying the most cost-effective and efficient travel arrangements and making necessary reservations for accommodations.
Duties include scheduling flights, hotel/housing, car rentals, and car service as needed. This is a great opportunity for someone wishing to continue their travel career in the entertainment industry.
What you’ll be doing
- Work with our travel agency to research and compare flight, hotel, and transportation needs to identify the best available option for each travel need
- Prepare travel itineraries and distribute travel arrangements and schedules to all appropriate staff
- Obtain approval from leadership for travel requests and expenses that exceed established travel policies
- Advise travelers of and assist with any need for specialized travel documents such as visas or passports
- Monitor and facilitate the use of company air travel credit cards, frequent flyer programs, and other applicable rewards and loyalty programs
- Coordinate individual and group travel with our travel agency
- Coordinate with travel agency as needed for all company events
- Confirm and review bookings
- Handle billing issues – prepayments, credit card authorizations, expense reports, hotel folios
- Review invoices, complete expense reports, track credits
- Keep up to date with travel restrictions
- Additional duties as assigned
Requirements
- A flexible schedule is required. Some evenings/nights/weekends required. This is an alternating on-call role.
- Travel and Expense software experience preferred
- Entertainment industry experience a bonus
- Excellent verbal and written communication skills
- Strong working knowledge of the travel industry
- Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal

Job Description: EMPIRE is looking for an experienced VP OR Sr. Director of Business Development (Tech Partnerships) to join our growing international team. This role will report into the Chief Business Officer and will work closely with our executive team to build and lead large scale business development strategies and partnerships.
This role is based out of our HQ in San Francisco.

- Lead all global partnerships and business development efforts, developing a comprehensive business development strategy in line with the company’s strategic objectives to support the EMPIRE portfolio across music label, distribution, and publishing business units.
- Develop and maintain relationships with key partners, including technology companies, brands, and other strategic entities.
- Conduct market analysis to identify new business opportunities, ensuring we are at the forefront of industry developments and innovations.
- Oversee sourcing, negotiation, and implementation of strategic partnerships, managing cross-functional teams to ensure successful execution.
- Collaborate with cross-functional teams to ensure that partnerships align with the company’s overall strategy and operational capabilities.
- Report on business development activities and achievements to the Chief Business Officer and other key stakeholders.
About You:
- At least 8+ years of experience in business development or partnerships in the technology, media, and / or entertainment industries.
- Proven track record of success in establishing and managing large global partnerships.
- Exceptional strategic thinking, negotiation, and leadership skills.
- Proactive and positive attitude with a strong work ethic.
- Excellent communication skills, both verbal and written, with the ability to effectively present and influence at all levels of an organization.
- Proven ability leading project-based teams and deal-making
- Ability to travel as needed.
- Bachelor’s degree. Advanced degree preferred.
- Based in San Francisco, CA, or willing to relocate.

Executive Assistant to SVP, Marketing

EMPIRE is currently looking for an experienced and energetic Executive Assistant to support our SVP, Marketing. The ideal candidate will have music industry experience, and have great judgment with discretion and confidentiality, as well as the ability to manage projects and deadlines.
This exciting role requires superior attention to detail, great organizational skills, the ability to meet tight deadlines, and to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important. Must be very efficient and highly attuned to the smallest of details, as well as being able to multi-task and working on tight deadlines in a high-pressure environment is crucial. No task is too small and no challenge too great. A “can-do” attitude is essential.
What you’ll be doing:
• Interact with client and potential clients as well as other artists and high-level visitors
• Provide high-level administrative support and have the ability to work well with all levels of internal management and staff
• Pull together various industry charts, information and reports using a variety of resources
• Manage the executive’s desk and daily schedule, manage itineraries, meetings and events, maintaining contact to inform them of upcoming appointments and meetings; Identify key issues and prioritizing the schedule accordingly
• Coordinate the logistics of Meetings, Conference Calls and Video Conferences
• Work closely with the Leadership team to provide seamless support to the Executive
• Manage and execute various travel arrangements and process travel & entertainment expenses
• Create and send grammatically/punctually correct internal/external company communication
Requirements:
• 2+ years executive assistant experience
• Ability to interact comfortably and effectively with employees of our company at all levels including Senior Management
• Ability to interact comfortably and effectively with employees of companies with which we do business

• Flexible – able to adjust to changing priorities, and able to multitask
