As an assistant, you will be responsible for various tasks that will help support our main board agents and ensure the smooth operation of the agency.
Your main responsibilities will include:
- Welcoming visitors: You will be the first point of contact, greeting visitors professionally and accommodatingly, creating a positive and welcoming atmosphere.
- Communication management: Handling phone calls, taking accurate messages, and transferring calls as necessary. You must be able to multitask effectively and problem-solve alongside the agents.
- Talent coordination: Assist agents with model schedules and logistics, ensuring that talent is properly organized and prepared for appointments and events.
- Travel arrangements: Booking travel arrangements for talent, including flights, hotels, car services, and trains. Attention to detail and excellent organizational skills are necessary in this aspect of the role.
- Administrative support: Assisting with various administrative tasks such as copywriting, file set-up, mail projects, data entry, and new client paperwork. You will be the backbone of our agency’s day-to-day operations.
- Client and model correspondence: Communicating with clients and models via email, providing updates, following up on inquiries, and maintaining strong relationships.
- Casting scheduling: Coordinating and scheduling castings, ensuring that models know their appointments and are well-prepared.
- Immigration support: Acting as a middleman between models and immigration lawyers, helping to facilitate necessary paperwork and ensuring compliance with legal requirements.
To excel in this role, you should possess the following qualifications:
- A solid understanding and knowledge of the fashion industry is essential.
- Excellent interpersonal and organizational skills, allowing you to effectively communicate and collaborate with team members, clients, and models.
- US work authorization is required.
- Comfortable working in a fast-paced environment and handling pressure while remaining focused, proactive, resourceful, and efficient.
- A dynamic personality with a positive attitude and excellent phone presence.
- Dependable, punctual, and possessing a strong work ethic.
- Strong verbal communication skills and the ability to operate with minimal supervision.
- Strong multitasking and prioritization abilities.
- Exceptional organizational skills and a commitment to punctuality.
- Proficiency in Microsoft Word and Excel would be advantageous.

It will be a definite plus if you have experience with cameras and Photoshop!

Model Agency Assistant

We are currently looking for the right person to fill an assistant position. This person will be responsible for learning from and catering to our main board agents, coordinating travel for talent, and multi-tasking in various areas. We have a fast-paced and creative office.
Responsibilities:
Duties include but are not limited to:
- Welcome visitors in a professional and accommodating manner.
- Answer, screen, take accurate messages &/or transfer moderately busy phones.
- Assist agents with model schedules and logistics.
- Multitask and problem-solve with agents.
- Responsible for various copy, file set-up, or mail projects
- Book travel for all talent, including flights, hotels, car service, train, etc.
- Communicate via email at short space.
- Play middleman between model and immigration lawyer.
- Schedule castings
- Data entry, new client paperwork
- General day-to-day bookings, data entry
- Sending regular emails to follow up with clients and models
- Open call screening
- Manage incoming and outgoing mail.
Qualifications
- Knowledge of fashion is a must.
- Excellent interpersonal and organizational skills.
- US work authorization (Required).
- Must be comfortable working in a fast-paced environment, sometimes under pressure, while remaining focused, proactive, resourceful, and efficient.
- Possess a dynamic personality, and positive attitude, with excellent phone presence.
- Dependable and punctual.
- Professional work ethic.
- Excellent verbal communication skills.
- Ability to operate under minimal supervision.
- Ability to multi-task and prioritize.
- Very well-organized and punctual
- Microsoft Word, and Excel are a plus
